It is rooted in development experience in South Asia, brings this experience and contacts from the wider development community into Canada, engenders learning and cooperation among its mixed constituents in Canada, and generates development focus and action back to South Asia.

JOB DESCRIPTION

 POSITION TITLE: Office Manager
STATUS: Short Term (6 months maternity leave)
COMMENCING DATE: January 10, 2000 (approximately)
TERMINATING DATE: July 14, 2000 (approximately)
 

FUNCTION:

 Reporting to the Executive Director, and secondarily to the Financial Officer, the Office Manager handles all office logistics, including reception, and provides administrative support to the Executive Director and other staff.

 DUTIES:

 1.  Office management

·        Manage office logistics, including reception and general administration

·        Anchor office communications (mail, faxes, e-mail, phone, couriers)

·        Manage office equipment and supplies

·        Coordinate logistics of SAP meetings and travel

·        Assemble and distribute meeting documentation; distribute minutes/reports of meetings

·        Provide secretarial services for the ED

·        Assist with itineraries for visiting Asian guests

·        Field general information requests

·        Coordinate input to contacts in database.

 2.  Documentation management

·        Ensure efficient management of central filing system

·        Maintain electronic bank of formal documents

·        Edit and format documents for external presentation from rough material

·        Manage SAP publications inventory and maintain “travel kit” for displays.
